  1. 4/19/2019 – The Comic Signal Members attending: Bryan, Jen, Erik, Issac, Ashley, Adam, Amy Agenda Summary items: Prior meeting summary - Jen Review handouts – Amy - Positions - Budgets/goals - Resources - Communication General discussion – all Committee – Jen Positions – primary positions are President (Jen), Vice-president (Erik), Secretary (Bryan/Lisa). The formal responsibilities under these positions has been largely disregarded in favor of a more casual sharing of the load. Budgets/goals – Amy has completed some numeric breakdowns for some initial goals for the guild. Please see a member or ask on discord if you want to see these values again. Resources – Amy spent made it very clear we have support from the foundation to accomplish our fundraising goals, including event planning, designers, materials, and so on. Communication – Numerous emphasis on communication and social media use. o Email blasts o Facebook – foundation and children’s hospital o Event linking/advertising o Where appropriate, potential partner sharing o Include Amy with any ideas of how she or the foundation office can be of help! General discussion – There was great discussion on a wide variety of fundraising possibilities, expanding on the prior meetings and getting further details into the events we discussed. Potter in the park and Coast guard festival are a definite GO. We worked on some of the details and expanded how the Foundation can assist in making this a better experience and capitalize on the opportunities. An example includes overcoming security/technology concerns by having locked down Foundation web devices accessible for booths. For GrandCon we’ll need to come up with a few ways to propose improving the gain for our volunteer time/effort. The game day discussion had a wide variety of ideas – including having it at another location, better integration of eSports, improvements in fundraising. Much of the conversation also centered around adding a new targeting a audience –families with one or more individuals who like the game, rather than just the more predominate high school/college age individuals. We are going to try and start having many months with a fundraiser and a greater number of volunteers. Some events include: - Panel on streaming (game focused) - eSports college competition - High school competition - Dice promo at certain events - Including miracle network kids and their stories at select events Jen introduced the idea of creating committees specific to our favorite gaming type – currently board games, RPG, and video games to advise and organize based on their passions. Extra Life Meeting Agenda/ Minutes: Location: Butterworth Hospital; Rm 1710D Date: 3/22/19 Time: 6:30pm Members attending: Jen, Erik, Phil, Bryan, Michael, Ashley, Lisa, Brandon, Rugrats Agenda topics & details: 1) Guild Status i) Leadership Changes (1) Interim officers – Jen/ President (2) Elections ii) New hospital Liaison – Amy Larson At the February guild meeting, Phil announced that he was most likely stepping down and taking some time off. We announced that this had officially taken place and that Jen had stepped in as interim president until the role could be filled. Erik nominated Jen for the position, and it was seconded by Bryan and Mike. She accepted with the understanding that due to other obligations, she would need assistance planning any events. Erik will keep his position as vice president, and Bryan and Lisa will step in to handle secretary duties as needed. It was also announced that due to restructuring within the Spectrum Health foundation, Jim would no longer be our liaison, and we would instead be working with Amy Larson. Jen will reach out to her and schedule a meeting to touch base. 2) Guild Goals i) Fundraising ii) Events iii) Meetings iv) Game Nights The guild discussed which events they would like to have on this year’s schedule. Our initial list includes Potter in the Park, Coast Guard Festival, GrandCon, GR ComicCon, and Game day. Further discussion needs to take place once we get a better idea of individual availability and fundraising opportunities. Due to scheduling conflicts, Jen suggested that we move the game nights to the same night as our guild meeting, and that the location change from the hospital to The Comic Signal. Attending members agreed that this would be more convenient. 3) Volunteering i) Training revisited ii) Benefits of volunteering This topic has been tabled until we have a better idea of our 2019 event schedule 4) Open Discussion Several marketing ideas were tossed around, including doing “Why We Extra Life” videos and ways to improvement our reach with Facebook Next meeting – April 19th at 6pm at The Comic Signal

    Interested in being more involved with Extra Life? Come on out to our monthly guild meeting! Our meetings are open to everyone. Meeting will start between 6:00 - 6:15pm and usually last about an hour. After the meeting is over, we play games! If you just want to play games, you're welcome to come out too! We usually start games around 7:00 - 7:15pm and play as long as we like (until the store closes, anyway). We pick three featured titles each month, and The Comic Signal has been kind enough to offer players a 15% discount should they decide to take one of them home. It's a great way to learn new games and meet new gamers!

The payment was going to be too hard to get through audit. We may try to get acquire them on our own, but I am not holding my breath. Miracle Treat Day was a huge success for CMN. 1732 employees pre ordered which is up 300 from last year. My building had 65 participate and we raised an additional $60 that we gave directly to CMN. Nobody played in the Indie game tournament on the 29th New Business Slack is now being used as primary source to communicate day to day. Stuff will still be posted to community site and Facebook too. Mini Maker Faire August 20 and 21 is covered between Phil and the partnering OST gaming guys. Food Update Amanda has secured Jimmy Johns donation for 2 platters Erik V said he could take care of a lot of other food (see action items) We still need coffee and doughnuts for the morning and a large amount of caffeine for the rest of the day (see action items) Console Update John is going to firm up the details but it sounds like Vidiots is going to help us out with all the consoles (see action items) Action Items Everyone More Caffeine!!!! Old Business Google I/O 4 Sign-ups In Kind Donation forms are now available for tax writeoffs. We will have release forms for any patients that would like to hang out on gameday. We were unable to secure a booth at Jafaxx. The Muskegon anime con has been canceled. Gr8bit is still currently up in the air. New Business Possible future events. A bar on Lake Michigan Drive will be showing MLG events on Tuesdays. It may be worth it to have a presence there. A similar business to GrandLAN may be opening downtown this summer. We will keep an eye out. We have an opportunity to secure a booth at the Balloon Festival happening July 22-24. Some sort of presence at Art Prize may be worth thinking about. Look into Holland to see if there are any events we could attend. Grandcon Grandcon is offering $5 off their ticket price to all Spectrum Health employees. For every one of these tickets sold, $5 will be donated to Extra Life. (It is normally $1.) Gameday OST has donated TVs for the gameday room. We are hoping we will get enough for the tournament as well. The manager at Game Stop is looking into helping us out with consoles. We will need to work out food for the entire day. John will reach out to Party on Printing to see if they will donate gameday shirts. Phil will make sure to book a nap room (important!) We will need to start thinking about scheduling mini-tournaments throughout the day (tabletop and console). Streaming details will need to be worked out eventually.     International Tabletop Day presented by Vault of Midnight April 30 @ 12:00 pm - 5:00 pm Founded in 2013 by internet nerd gurus “Geek & Sundry,” International Tabletop Day is a worldwide celebration of boardgaming goodness. Local purveyors of comics and games, Vault of Midnight, will be on hand to lend their sharp wit & board gaming expertise to attendees.     We will have a booth at Marmalade Dog in Kalamazoo on March 18th, a day after the meeting, so let's nail down a plan for that. Meetings will go back to the first Thursday of the month, starting in April. The meeting will be from 6:30 pm to 7:30 pm at Buttersworth Hospital Room 1710 across from the fireside grill.
