  2. First off… My apologies for failing to create the proper calendar events for the meeting. I just assumed the EventBrite emails were enough to let everyone know about the kickoff meeting. Here are the meeting notes from Tuesday’s monthly meeting. Participants Kelly, Marcus, Steven, Andrew, Ross, Chris, Sarah, Missy, Jimmy, Tyler, Quauhtli, Nan, Charlie, Krista, Erin, Brendan, Hana (new attendees in bold!!) Guild Kickoff Leadership: President – Ross Ledford; Vice President – Marcus Summers; Secretary – Steven Sober Hospital Representatives: Keri Christianson, Kelly Partner (covering why Keri is on maternity leave) Marcus gave a short presentation on what the guild is and how it functions in conjunction with the overall Extra Life effort. Fundraising/Recruitment Update Recruitment Recap: 2014: Goal – 400; Actual – 670 2015: Goal – 450; Actual – 625 2016: Goal – 751; Actual – 652 2017: Goal – 750; YTD – 107 Fundraising Recap: 2014: $46,415 2015: $92,135 2016: Goal - $110K; Actual - $111, 284 2017: Goal - $125K; YTD - $4,853 Extra Life Overall Fundraising: 2014: $6,100,000 2015: $8,361,187 2016: $9,695,148 -$30M overall!!! Extra Life United I gave a presentation summarizing ELU this year. United is an Extra Life event that coincides with the Children’s Miracle Network Annual Momentum convention. Along with sponsors and supporters, one CMN child from each state, Puerto Rico, and Canadian province are chosen as “champions” to attend with their families. I had the opportunity to meet some of these inspirational kids, watch them in a medal ceremony, and even play some video games with them. The Extra Lifers attending ELU participate in a two-day tournament sponsored by Twitch with an assist from Microsoft. There were 12 games total (six video games and six board games) and each participant could compete in six games total. There was a prize pool of $150K plus an extra $10K from Microsoft that players could earn towards their designated CMN hospital. (I won $100 playing Rocket League for Duke!) Recent Events Summary (I don’t remember us covering these in the meeting but just for kicks here they are…) Playthrough Gaming Convention – Held in late February. I’m not sure how many signups but fun times! Oak City ComicCon – Held in mid-March. Again, a lot of fun but I don’t have an exact signup number. Last Month Action Items The first friendly reminder to sign up for this year’s campaign, and customize your donation page with a picture and story about why you participate in Extra Life. You can set up schedules to post to Twitter and Facebook automatically. Hospital Update Kelly shared a story and video about how Duke Children’s is using 3D printers to map out intense MRI images of patient hearts. The technology is being used to build 3D heart models (some as small as a dime) of each patient’s unique heart to study and analyze vessels and flow in order to decide the best course of action or surgery. The 3D models shown in the video were very cool!! Future Events April 18-20 – East Coast Games Conference – This is held during the day time. Anyone who is interested and available to volunteer PLEASE let us know in the forums or Facebook!! Miscellaneous New for 2017: Social Media: Public Facebook Page – Twitter Account – @extraliferdu “Tools of the Trade”: Community Forums – Extra Life App – iOS, Android, Facebook Extra Life Recruitment App – iOS, Android 2017 Marathon: This year’s main event will be held on November 4th, and will once again be 25 hours due to the clock’s falling back an hour.     It's less than a month to go until game-day! Can you believe it!? Time for us to sign up as many people as we can in October! The fine people of the Downtown Cary Food have asked us to be a part of their event. Downtown Cary Food & Flea is a community market that features local fine artists, craft makers, vintage finds, local craft beer, edible goods, music, food trucks and more. We've never attended an event in Cary before, so let's sign up those gamers! Date: 10/9/16 Time: 11AM - 4:30 PM Location: 200 S Academy St, Cary, NC 27511 The market officially starts at noon, so we need a couple of people to come help set up the tent and recruitment table at 11am.   4. Hey everyone! A few people have already asked, and for those that were in attendance at our meeting, this past Wednesday, you’re already aware, but I wanted to go into detail about our plans for the 24-hour marathon this year. November 5th is fast approaching and I know that some people are already making plans. This may be a little lengthy, so I’ll just get straight to it! In short, we will not be hosting a large public event this year. This is for a few reasons…. Finding large venues that can accommodate 100+ people come at a significant cost to the hospital. Last year it took a tremendous amount of work for the leadership team to find a venue that was big enough, had internet, and was available for more than 24 hours. Even though we negotiated a discount, the venue still came at a very large financial cost to the hospital. Although we did an amazing job with our fundraising, this year the hospital is understandably not very enthusiastic about spending the same amount of money. They have also pointed out that while hosting a large gathering like last year is a great time, it’s not required by the program, creates a lot of work and actually isn’t something that most guilds do. As most of you know, our VP, Marcus aka @MajorLinux and his lovely wife are expecting a new-born any day now.(Actually at the time I type this, any minute!) Obviously, life is about to change drastically for them both and Marcus is about to have a whole different set of priorities. He has put in an incredible amount of effort to support Extra Life this year, as he always has. He deserves some time off…if you call taking care of a new-born time off! Thank you for everything you've done, sir! My dad is turning 70 on November 7th. Obviously, it’s going to be a big celebration. What’s making it even more special is that I have family coming in from out of town. Most of you know that my family lives all over the world. Scotland, Los Angeles and Australia! Family gatherings are a very rare thing in my life, so I’m sure everyone will understand that my priorities lie with them that weekend. Finally, as I stated at our meeting, I’m fully confident that this will have no effect whatsoever on our fundraising. At the end of the day, this program is about as raising as much money as possible for the kids at Duke Children’s Hospital. Most of us started out participating in Extra Life with just a small group of friends and were able to do an incredible amount of fundraising for the hospital by organizing smaller events with our friends and family. This year, I encourage everyone to do the same. Just because we can’t all get together on November 5th doesn’t mean that we’re not going to smash our goal of $15,000 as a guild! I’m disappointed that we can’t do a big event this year, I really am! Just ask @MajorLinux, @SobeDog007 and @Kommander Keri. Unfortunately, due to nobody’s fault, we simply don’t have the resources or the means to do it. Again, I hope everyone is understanding to the unique circumstances this year.     It's time for our monthly tournament with Boxcar Bar + Arcade! This month, due to popular demand at the bar, we'll be hosting a Mario Kart 64 Tournament! As before, the bracket portion of the tournament will take place in the rear of the bar on the consoles, with the final matches taking place on the Mario Kart GP arcade cabinet. Prizes are available and guild members can even participate! We're currently looking for a couple of people to help with the brackets, explain the Extra Life program to participants and sign people up to play for Duke Children's Hospital.     It's the first day of classes for NC State freshman! During their first few days, many of the university's clubs and charity organizations will be setting up tables to welcome students and inform them of various opportunities around campus and town. This is a great opportunity for us to inform new students about Extra Life and get them signed up to help play for Duke Children's Hospital. Our guild member, Ross Ledford has invited us to be a part of the day. Ross is the President of the NC-State E-Sports Club and expects a huge amount of interest in Extra Life. Our very own @MajorLinux will be in attendance to set up a live stream throughout the day. Other than that, we'll be doing our usual recruitment! This is going to be a rather long day, so we need as many volunteers as possible so we can hopefully split up the work. Please let us know if you can attend and help out!     First Friday

    The Raleigh Times has invited us to be a part of their monthly First Friday celebration on the evening of August 5th! You may remember that our recruitment event with them two years ago was one of our more successful. This is a great opportunity to get a ton of people signed up to help the kids at Duke Children's Hospital. Let's do it! Date: August 5th, 2016 Time: 6PM load-in, event runs from 7PM-11PM Location: Raleigh Times - 14 E Hargett St, Raleigh, NC 27601 We'll be running multiple video game demos, but otherwise, this will be focused completely on recruitment, so be ready to talk to members of the public and explain the Extra Life program to them.     Every Wednesday, Boxcar Bar + Arcade hosts their "Drink for a Cause" charity night. The Extra Life Raleigh-Durham Guild will be in attendance on June 22nd to help run a gaming tournament and of course, recruit!     Who doesn't love Christmas? It's too bad it's only once a year.'s happening this June at Duke Children's Hospital! Once again, the BB&T Lighthouse Project is organizing their yearly "Christmas in June Carnival"! This is a great opportunity for us to spend some time with the kids we're trying to help. This is purely a day of video-game fun with the kiddos. No recruitment. Other activities include carnival games, prizes, superheros, disney princesses and much more! Hope to see you there! Overall $45000 was raised for pediatric cancer research!! Total Signups for 2016 – 151 of 751 goal Fundraising Update $41580 for Duke Children’s so far (majority from YouTubers) towards $110K goal for 2016! Currently the 3rd highest total among CMN Hospitals! General Information Facebook Group is still going to disappear but no official date set yet. There is a very helpful guide written by Andrew that explains setting up notifications for the EL forums area! Attention streamers! The official Extra Life channel has tons of openings for anyone interested in streaming to all EL Twitch followers! The annual T-Shirt Design Contest is under way! Brainstorming for Possible Future Events Boxcar – Trying to have events on a regular basis with hopefully some proceeds going to the charity (Andrew). He is meeting soon with the event coordinator for their “Drink for a Cause” nights. GOUGE Wrestling – There is an event on 5/14 (Andrew). Microsoft Store – Officially partnered with EL now; Events/tournaments are being planned starting on 5/22. Trying to reach out to Blizzard about hosting a local Hearthstone tournament (Pete/Justin). Smash Tournament – 5/21-5/22 in Greensboro - Talk of expanding and looking for other possible events/contacts in the area (Marcus). (Non-Business) Planning another 12-hour event at Kramden for mid-July (Steven/Jimmy). Main Event 2016 It looks like we have found a venue for the main event this year. Here is a summary in Andrew’s own words: “Speaking of, the big news of the night came from Justin. He told us that they’ve negotiated a venue for their “Smash For Life” (Hopefully temporarily renamed to “Smash For Extra Life”). Their event is essentially the same thing as Extra Life - gaming for 24 hours straight. They’ve picked a new charity every year and this year they want to partner with us. You may remember that I toured the venue with Justin and Ross last month. They’ve got the venue booked for November 5th and will be donating all the proceeds to the hospital. They are expecting 250-300 attendees in addition to whatever we bring in. The space is massive and has Gigabit internet. All good stuff! A big relief honestly that we don’t need to search for a venue later in the year. Now we can focus on nothing but recruitment and hopefully getting some of the gaming studios involved! :) “ Huge thanks to Justin for helping get this partnership up and going!!!     May Meeting

    It's time for our May meeting! Due to having to pay for electricity at our recent East Coast Game Conference, there will be no free pizza at this meeting. Because of this, we've decided to hold the meeting at Level-Up in downtown Raleigh again. This way, we can order our own food for dinner and also have the benefit of playing their arcade games! Location: Level Up Kitchen + Barcadium - 126 S. Salisbury St. Raleigh, NC 27603 Time: 7pm - 9pm We'll be recapping all of our recruitment events in April, discussing some upcoming changes in social media, how to easily keep up with the forums and brainstorming some ideas for events in the coming months.   15. Due to the recent news of our Facebook Group disappearing, I thought now would be a good time to point out just how easy it is to set up notifications on the forums. This will help with our total migration off of Facebook. Here is a step-by-step guide on how to customize your notifications and make it super easy to keep up with everything Extra Life and Guild related! 1) Create a username. Remember, your donation page login is separate! 2) Once you're logged in and browsing the forums, click the "Follow This" at the top right of any content. The button should change to "Following". Make sure to follow our forum. 3) Once you're following a piece of content, click the button again to bring up even more options. From here you can quickly change how you want your notifications sent. 4) If you want to go into even greater detail, click "Change how the notification is sent". You can customize almost every single notification to be sent as either an alert, email, etc. 5) Finally, make sure to follow our calendar. It can be found at the top of our forums. You'll be alerted when new events are added and you can even sync it with services like iCalendar, Google Calendar, Outlook, etc. And that's it! Two big things to do 1) Follow our forum & 2) Follow our calendar. Hope this helps! Also, remember that you can browse the forums on mobile. The site scales very well on all devices and can be very useful for those of us on the go! Or if you prefer to use apps.     We're happy to announce that the Extra Life Raleigh-Durham Guild are partnering with the awesome people at Triangle Game Night and the West 94th St. Pub for their St. Baldrick's Foundation event, "BRAVE A SHAVE FOR KIDS WITH CANCER". Whether you decide to shave your head in the Pub's 6th annual Headshaving Event or run/walk in the inaugural Balderdash 5K, you will be making a difference in the life of a child.     Great news! The fine folks at the East Coast Game Conference have invited us to be a part of their event. ECGC returns for it's eighth year in Raleigh and is the largest gathering of gaming professionals on the east coast. This year's featured speaker is the one and only, Warren Spector! This is a great opportunity for us to spread the word of Extra Life, the Guild Program and make some new contacts within the industry. We're currently looking for volunteers for the three day convention. Please look at the schedule below and let us know when you could come help out.     Time to kick things off for 2016 with a little bit of fun! Once again, we'll be partnering with the amazing people at The Kramden Institute and holding a 12-hour Mini-Marathon. This will give us a chance to relax, play some games and get ready for all of our April recruitment events! Chairs are available, but if you want to bring something a little more comfortable, feel free! The Kramden Institute will be providing ethernet cables and switches for us to use. Please make sure you bring enough power strips/extension cords for yourself though. Once complete it will contain our logo, contact information, upcoming calendar events + recent forums topics all on one page. This is also a handy URL to share with people. FB Group to be phased out - Not concrete date, but more than likely, come May, the FB group will be deleted. All communication will be done on the forums. This will effect all guilds, in-fact the recently launched guilds didn't receive one at all. This means that the forums will be even more important this year. Recruitment app for iOS + Android. This is great news. You can now download an app for your phone or tablet to sign people up for Extra Life on the spot! Now when you are casually speaking about the program with people, you can register them immediately. Date: Wednesday, March 9th Time: 7:00PM - 9:00PM Location: Duke Children's Hospital Offices - 710 West Main Street, Durham, NC 27701 Among other things, we'll be covering the following topics... - Re-cap of 2015 - The second annual "Golden Thumbs-Up Awards"! - 2016 recruitment + fundraising goals - Election of new leadership - New positions being added to the guild Food and drink will be provided as normal. Also, I realize this date doesn't fall into our normal "first tuesday of each month". With Extra Life United going on and official emails going out from the hospital about this meeting, we had to delay it. Don't worry, we'll get back on track in April!
