Meeting Notes

April 12th 2017 at Dialectic, Inc.

Game Day is November 4th

 

TOP INFO:

*Planet Comic Con is coming up soon. Schedule will be released shortly.

*New shirts will not be ready before Planet ComicCon Kansas City

 

EVENTS:

 

PAWN AND PINT Charity Night (Unofficial Event)

Extra Life Organizer:  N/A

Location and times: Pawn and Pint, April 18th 7PM to 10PM

Events: Unlimited Gaming

Notes:

-$5 Dollars for unlimited Play that night, half will go to Extra Life

-We will also be recruiting that night, but no set schedule is needed, just show up in your Extra Life shirt if you want to help with the recruitment efforts.  

 

PLANET COMICCON

Extra Life Organizer: Sean Albillar

Kansas City Convention Center April 28th, 29th,
30th

Events: Bingo Cards, Penny wars,

Schedule: Schedule for PCKC

Notes:

*If you need to change your schedule, please contact Sean Albillar via Email or Facebook as soon as possible.

*Badges are only issued for days you volunteer and will need to be picked up from the Volunteer check in every day.

*Mandatory volunteer training will be held on Thursday the 27th at 7PM to 9PM(ish) for Extra Life Staff, please contact Sean or Lora if you cannot make this. This training will show you where to check in and where our booth is. This is a PCC requirement, not Extra Life.

*We will be located in the NEW Planet Entertainment Zone(PEZ)

*Food vouchers will be available and distributed by Sean Albillar

*No prizes for the first BINGO Cards turned in, only the Raffle Prizes of: A month to loot Crate and a $25 gift card to SoPro.

 

FREE COMIC BOOK DAY

Extra Life Organizer: David Finch

Location and times: Elite Comics, May 6th 10AM to 5PM

Events: Recruiting Penny War etc.

Schedule: NEEDS VOLUNTEERS

Notes:

*Slow fun event at a comic book shop out in Overland Park. Come on out and help out.

MAKER FAIRE

Extra Life Organizer: David Finch/Brigid Derby

Location and times: June 24th(10AM to 6PM) and
25th(10AM to 5PM)

Events: Makers needed, anything you are willing to
donate to the booth to be sold for 100% proceeds going to Extra Life

Schedule: To be determined

Notes:

*Only five wristbands available for the weekend,
expect long shifts.

 

 

Additional Information:

 

TRAINING NOTES /BASIC RULES FOR CONVENTIONS:

1) Show up for your shift, if you cannot make it, make contact with the Organizer at least the day before your shift. Contact Info will be provided at the booth, or contact via Facebook.

2) Only Extra Life shirts or appropriate Cosplay at the booths. Cosplay is good in that it attracts people, but do remember we are representing a children's charity.

3) Read over forms submitted to ensure that they are legible and filled out completely. Illegible forms cannot be submitted, all info is needed to put them into the system

4) Dice and Sopro free time are given out only to people who sign up.

5) Come up with an elevator speech to use at the booth. Key things to remember are:

-Extra Life is a Gaming Charity

-100%of funds raised to go Children's Miracle Network, local hospital KU Med.

-We game for 24 hours in November, and looking to sign people up.

PENNY WARS: A simple game, donate money to support your favorite game system. Traditionally coins are considered positive points, while dollars are negative points. (For PCKC, all money is positive points to simplify the game due to crowd size).

BINGO: an Honor system game used to draw people to the booth. Small prizes are usually handed out but may depend on crowd size. Idea is that they turn in the cards at our booth and we then talk about Extra Life.

May 10th at TBD, event will be posted on Facebook in a reasonably timely manner

I will not be able to do an official shift at Maker Faire, but I will be on site the entire weekend should anyone need anything, have questions, or should there be an emergency.
